How to Import Resumes into Bullhorn

Here’s how you can bulk upload/import resumes into Bullhorn:

  1. The first step would be to get all your resumes (doc, docx, pdf, etc) into a zip file and all their details (name, email, phone no, job title, location, etc) into a csv file to upload into Bullhorn. 
  2. You can then simply upload these into Bullhorn using their upload feature.

Step 1 used to be a herculean task with resumes lying in all kinds of places like email, desktop, network drives, cloud storage. Not anymore. Reason: Tobu.

Tobu automatically identifies and extracts all the resumes from the following across your team in 1 click

  1. Email (Gmail/ Outlook etc)
  2. Desktop Folders and network drives (shared drives)
  3. Cloud storage services(Google Drive/ One Drive)

Tobu then puts them into a zip file and also creates a csv file with all the parsed key candidate details like name, email, phone number, location, job title, etc. It even eliminates duplicate copies of the resumes/cvs. Tobu will do this for a one time extraction fee or on a continual basis even going forward depending on your preference.

Fetching resumes/cvs from your email:

How to fetch resumes from your Gmail account:

  • Click on Settings → Configure Email → Click on Gmail → Allow Tobu access.

Done!

Tobu immediately scans your entire Gmail inbox for resumes (Every single resume lying there since the time you created your email account). You should see your resumes on the Candidates page on Tobu.

I have multiple Gmail accounts / I have multiple team members with Gmail accounts / I have expired Gmail accounts of past employees. How to fetch resumes from multiple Gmail accounts:

Your Tobu login id (your email id, eg. [email protected]), needs to match the Gmail account you want to sync. One cannot sync the Gmail account [email protected] under the Tobu login id [email protected]. Only the Gmail account [email protected] can be synced under the Tobu login id [email protected]. Hence, you need to create more Tobu login ids to sync multiple Gmail accounts.

On signing up for Tobu, Tobu creates an account for you as well as for your company and adds you as part of the company. You can then invite more users to join your company account by using the Invite Users option on the left and entering your teammates’ email ids. They can accept the invite and follow the steps to fetch resumes from their Gmail.

How to fetch resumes from your Microsoft email account such as Office 365, Hotmail, Outlook.com, etc:

  • Click on Settings → Configure Email → Click on Microsoft → Allow Tobu access.

Done!

How to fetch resumes from an email account that is non-Gmail and non-Microsoft and non-Zoho:

  • Click on Settings → Configure Email → Click on Other → Enter your email id and password → If required, enter your IMAP, POP, SMTP settings. You can find this in your Microsoft Outlook app on your computer (assuming you use the Microsoft Outlook app, which is usually the case).

Done!

Desktop:

How to fetch resumes from your desktop:

Along with the web portal tobu.ai, Tobu also has a desktop app called Tobu Desktop for Mac and Windows. Download the appropriate version from here from your desktop:

After downloading and opening Tobu Desktop:

  1. Log in to your Tobu account
  2. Click on Sync desktop (a menu item on the left panel)
  3. Hit Add Folder(s) to sync. Hit Start Backup.

Done!

Tobu identifies every resume within the chosen folders, their sub-folders, and theirs and so on recursively (You don’t have to choose every single folder in the hierarchy individually. Tobu does that automatically for you). You do not have to have only resumes in those folders. You can have all sorts of files in those folders. Tobu identifies exactly only resumes and ignores the rest. The files are sent to your Tobu account.

My resumes are spread over multiple desktops. How to fetch resumes from multiple desktops:

Perform the steps mentioned in “How to fetch resumes from your desktop” on each of your desktops. Done!

Shared Network Drive:

How to fetch resumes from your shared network drives:

Follow the exact same steps as for the desktop. In the Choose folder/s step, select your Network drive.

Cloud Storage:

How to fetch resumes from Google Drive:

  • Click on Settings → Configure Cloud Drives → Click on Google Drive → Allow Tobu access.

Download zip and csv:

Once all your resumes have been uploaded, Tobu makes sure it creates a unique database of candidates by removing duplicates and keeps the latest resumes of each candidate. It then gives you a ready-to-download zip file with all the resumes and also a csv file with all the key candidate details (name, email, phone number, location, job title, etc).

You are now ready to upload your data into Bullhorn.

Upload downloaded zip and csv files into Bullhorn using its upload/import feature.

1. Is Tobu secure?

Ans. Absolutely. We undergo a rigorous security audit every year by one of Google’s official security partners. We are a Google Verified app. Only a handful of companies globally have this certificate.

2. Do you share/sell/own/view my data?

Ans. No. Your data is yours alone. Only you and your team have access to it.

3. How do you identify resumes? Do you look at just the name of the file or the word CV or Resume inside the document?

Ans. Our algorithm is highly advanced for which we are patent-pending. It considers hundreds of factors in determining whether a document is a resume.

4. Which file formats do resumes need to be in? Do you consider images? What is the max file size for a resume?

Ans. We consider only Text formats (doc, docx, pdf, rtf, etc) less than 5 MB. 

5. Which languages do you support?

Ans. Resumes need to be in English.

6. Can I delete my data from Tobu?

Ans. Yes. All it takes is one email from your side. We will erase everything.
